How to schedule and manage an event in StreamText

Scheduling an Event

  1. Log in to www.streamText.Net
  2. To schedule an event you will click on the Schedule Event  on the left menu.
  3. Now set up the event. The fields are listed below.
    1. Event Template - This is used for repeat events. A template reduces the amount of work required to set up an event. You can set the event name, duration, writer, parsing format, customers, include chat and the password for the event. There is no limit to the number of event templates you can have. To manage them click on the Event Templates link in the left menu.
    2. Event Name* - This is the name of your event. The rule is you cannot have two events at the same time with the same name. You also cannot use spaces in the name. The name will be used to construct the link for your event. For example the demo event URL is http://streamtext.net/text.aspx?event=IHaveADream . You will just replace IHaveADream with this event name.
    3. Scheduled Date* - This will default to todays date. This will be the day the event will run.
    4. Scheduled Time* - This is the start time of the event. Your viewers will not be able to view the event until this time. It defaults to the current time.
    5. Time Zone* - This is the time zone in which you will be physically located. It will default to the time zone on your profile.
    6. Duration in minutes* - This is the amount of time your event will run if you connect and write to the event. We have a good article on duration and when an event will end http://support.streamtext.net/KB/a3/when-does-an-event-automatically-close.aspx. This field defaults to zero min. 
    7. Writer* - The writer who will be providing the service. To manage your writers click on the Staff link in the left hand menu.
    8. Parsing Format* - This format needs to match the output format from your writing application. The most common format is ANSI and this is usually supported by all of the transcription applicaitons on the market. If you have odd characters or formatting that does not look right make sure you check the settings. 
      1. ANSI
      2. Case View
      3. Case View (Pro Cat)
      4. Closed Caption
      5. Pro Cat WinView
      6. Standard Text ( For the application window on the connector application)
      7. Typewell Parser
    9. Add Customers - This is an optional feature that allows you to use the email notification solution built into streamtext. We have a screen cast that covers them here http://support.streamtext.net/KB/a17/setting-up-notifications.aspx. To add customers just enter the first two letters of their name and a list will appear. To select just click on the name. You will only see customers that you have added under the Customer link in the left menu.
    10. Include Chat - This defaults to selected and will include the chat window in the event player. If you do not need the chat window you can deselect this item.
    11. Security Options
      1. Password Protect - If you need to add access control to the event check this box. The viewer will be prompted for the password in order to view the stream.
      2. Event Password - Password for event
    12. Notifications - Optional tools for you to notify the writer and customers of the event details. Emails are sent when the event is created and updated.
      1. Email writer using - Select Notification Template for writer. An email will be sent to the assigned writer for the event.
      2. Send copies to - Add in email addresses for anyone else you want to receive a copy of the email. They need to be separated by a semi colon ';'.
      3. Email customers using - Select Notification Template for your customers. An email will be send to each customer you have selected in the Add Customers section of the event.

  4. Click on Create Event
  5. You will be directed to the event details screen for the event.
  6. Click on view events and you can see all of the events you have scheduled.

Updating or Canceling an event

Update Event - You can edit an event that has not started. To edit go to the dashboard or view events and click on the edit event icon. Make your updates and click on the Update Event button at the bottom of the page. 

Cancel Event - If you need to cancel the event just click on the Cancel Event button. Once an event has been canceled you cannot revert it back. You will need to create a new event with the same name.

If the event has started you cannot cancel or update it.

Starting and Stopping an event manually

  • Manually starting an event - If you need to start a scheduled event before its start time go to view events or dashboard and click on the Start Icon. This will start the event and it will run to the scheduled duration if you connect to the meeting.
  • Manually stopping an event - To stop an event go to the dashboard or view events. Click on the event control icon. Click on the Stop Event button.

Viewing the event stream
To view an event that is active you will need to have the link for the event. The format is http://streamtext.net/text.aspx?event='Your-Event-Name-Here'. Just insert your event name in the URL and that is the link for your event. You can also click on the watch event icon on the view events and dashboard page. This will just direct you to the same link.
