Using the new caption ingestion option with Cisco WebEx

Starting in March 2025 WebEx will have introduced  a new method for captioning directly into their platform using the realtime ingestion option in StreamText. Note there is also an app that StreamText has published to the WebEx app pool that supports word for word captions and translations. However if you need to use the native captioning feature it is very easy to use.   

 

  1. StreamText Event Setup - Normal setup for your  StreamText event except for setting the Realtime Ingestion settings  on the CART/Captioning tab when  you schedule the event. You will first need to get the caption link from the WebEx meeting room. 
  2. Retrieve the WebEx Caption Link-  You will need to have the meeting host enable manual captions. To do this follow the steps below.

  3. Captioner will then copy caption link

  4. Realtime Ingestion section on the CART/Captioning Tab. You can also access this on a live event using the Event Control -> Change Settings.  Below are the recommended settings for that section. ( see step 5 below for adjustments to these settings)
    1. Caption URL - The copied caption link
    2. Correction Buffer - WebEx does not support updates so the captions need to be complete before they are sent out similar to Zoom.  Some captioning software will not need to set this value. If you see duplication then you will need got add a few seconds to remove it. 
    3. Check Send Complete lines - It is a line for line feed
    4. Line Length - Suggest 50 but you can adjust during the event. You can access the settings through the event control.

  5. Update Settings with Event Control - Once the event is live or you update the setting on the Event Control the event will publish to the MS Teams Room. Note you need to have at least one participant watching CC for the feature to be enabled. 
  6. How to reduce the delay for captions if it is too long.
    1. Reduce the correction buffer duration: Your captioning software may already buffer the output so that translations are completed before the  text is sent to StreamText. If so you can reduce this to zero in some cases. However if you are on Dragon or Case  Catalyst for example you will need some buffering to prevent retransmission of the same text. Reduce it until you start to see duplication in the output. If you do see  duplication in Teams then you will need to increase it so translations can complete correctly. 
    2. Reduce the line  length: 50 charters is a recommendation based on  normal  pace of conversation however this  also will add delay. The shorter the line length the faster the  captions will be sent to Teams. We do recommend not  going  below 32 charters on this setting to keep the captions from scrolling up too fast.
